How to arrange transportation of a coffin with the body

Regardless of the mode of transportation (aircraft, road transport), delivery of cargo 200 is a highly responsible task, complex both documentarily and organisationally.

This procedure requires compliance with specific conditions (storage, transportation of the body) and involves the preparation of numerous permit documents for the transportation of cargo.

Full repatriation from Minsk to Amsterdam and anywhere in the Netherlands

Repatriation from Belarus to the Netherlands is requested by families of Belarusian emigrants settled in Amsterdam, Rotterdam, The Hague or Utrecht, as well as by relatives of Dutch professionals who worked in Minsk under contract. Loved ones often wish to bury the deceased next to family members who left for the EU in the 1990s. Our company handles every step, from collecting the body at the morgue and filing paperwork at ZAGS to the handover to a Dutch funeral director. We communicate with families respectfully, avoid upselling and explain each step in plain language without bureaucratic jargon.

To ship to the Netherlands we issue a Belarusian death certificate at the ZAGS civil registry, obtain the forensic conclusion from the State Committee of Forensic Examinations in Minsk, prepare an embalming certificate and the zinc-coffin sealing act. All documents receive an apostille from the Belarusian Ministry of Foreign Affairs, since Belarus is a Hague Convention member. Translation is done by a sworn translator into Dutch or English — Dutch municipalities accept both. In parallel we request the export permit and the sanitary-safety certificate.

The main air route departs from Minsk National Airport (MSQ) with a transfer in Warsaw (LOT) or Istanbul (Turkish Airlines) and arrives at Amsterdam Schiphol (AMS). Total transit time is 20 to 26 hours including cargo handling. If the family prefers road transport, our refrigerated hearse drives from Brest through Warsaw, Berlin and Arnhem directly to the funeral home address — around 1,700 km and 24 hours on the road. Both options allow accompanying relatives to travel together with the body.

Upon arrival at Amsterdam Schiphol, our Dutch partner meets the cargo in the freight sector, clears customs and hands the body over to a licensed uitvaartondernemer (funeral director). Burial at a municipal begraafplaats or cremation at one of the Dutch crematoria follows. We coordinate with the Belarusian consulate in The Hague and with Orthodox or Catholic parishes when a specific rite is required. Every action is documented and copies of all acts and receipts are provided to the family.

The 24/7 dispatch line +375 29 314-59-59 answers calls at night, on weekends and on holidays. On the first call we prepare a free cost estimate: zinc coffin, air tariff or hearse, documents, apostille, sworn translation, handover in the Netherlands. The price is locked in the contract and does not change unless the client requests additional services. Payments are accepted in BYN, EUR and USD by bank transfer, and a full set of supporting financial documents is issued. Call us — we will explain every step calmly and clearly.

Frequently asked questions

Which Dutch cities do you deliver to?

We cover the entire Netherlands. The main air hub is Amsterdam Schiphol (AMS), from where our Dutch partners distribute the cargo to Rotterdam, The Hague, Utrecht, Eindhoven, Groningen, Maastricht, Tilburg, Haarlem, Almere and hundreds of smaller towns. For road transport we drive directly to the cemetery or crematorium address. Because the country is compact, onward delivery to Friesland, Groningen or Limburg takes only 2 to 4 hours after the flight lands — logistics are straightforward everywhere.

What documents are prepared in Belarus and in the Netherlands?

In Belarus: ZAGS death certificate, forensic conclusion from the State Committee of Forensic Examinations, embalming certificate, zinc-coffin sealing act, export permit and MFA apostille. In the Netherlands the receiving party submits the international Laissez-Passer mortuary passport, the apostilled dossier with translation, and a verlof tot begraven or verbranden application at the municipality. We prepare both dossiers in parallel so the body is not delayed at the Schiphol freight terminal.

How long does delivery from Minsk to the Netherlands take?

Air delivery via Warsaw or Istanbul to Amsterdam takes 2 to 4 days from the moment documents are obtained. That window covers embalming, zinc-coffin sealing, the MFA apostille (one to two days, or same day express), sworn translation and the flight itself. Road transport by specialised hearse through Poland and Germany takes 3 to 5 days depending on border-crossing load at Brest-Terespol or Kukuryki and on the final address in the Netherlands.

How much does repatriation from Belarus to the Netherlands cost?

The quote covers every item: body preparation at the Minsk morgue, zinc and wooden coffins, ZAGS documents, MFA apostille, sworn translation, Belavia/LOT/Turkish air tariff or hearse work, customs clearance at Schiphol, meeting the cargo and handover to a Dutch funeral director. The exact figure depends on weight, urgency and distance to the final destination. Call +375 29 314-59-59 — a specialist will prepare a free transparent estimate in EUR and fix it in the contract without hidden surcharges.

Is a zinc coffin mandatory?

Yes. IATA rules and EU sanitary standards require a hermetic zinc insert placed inside a wooden coffin. Sealing is performed in Minsk by our specialists with a sanitary inspector present and a sealing act with a serial number is issued. Dutch customs verify zinc integrity on arrival in the EU and in the Netherlands. Opening the zinc coffin without sanitary-service permission is forbidden — for the farewell in the funeral home only the wooden lid is lifted.

How do I obtain the apostille in Belarus?

Apostilles on ZAGS certificates and medical documents are issued by the Ministry of Foreign Affairs of Belarus at 19 Lenina Street in Minsk. Since Belarus is a Hague Convention member, the apostille is fully accepted in the Netherlands and does not require additional consular legalisation. Standard processing takes one to two working days, express can be done in a few hours. Our lawyer files the papers by notarised proxy, pays the fee and hands the ready set to a sworn translator.

Can I accompany the body to the Netherlands?

Yes. Relatives can fly on the same Belavia/LOT/Turkish flight or travel alongside the hearse. For flights via Warsaw or Istanbul a Schengen visa is required — the Dutch consulate in Minsk and the VFS Global centre accept applications on an express basis upon presentation of the death certificate and our cargo-200 accompaniment letter. For road transport there are one or two seats in the hearse cabin. We issue the accompaniment certificate for consulates and border guards.

What visas do relatives need?

Belarusian citizens obtain a Schengen visa at the Dutch consulate in Minsk or through VFS Global. With the apostilled death certificate and invitation letter from the Dutch uitvaartondernemer, the visa is issued on an urgent basis — usually within one to three working days. Citizens of Russia, Kazakhstan and other countries apply at the relevant consulates. We prepare all supporting documents, including the official Dutch-language invitation, and send them by email in advance.

Do you work on weekends and holidays?

Yes. Our +375 29 314-59-59 dispatch desk is staffed 24/7, including New Year, Orthodox and Catholic Christmas, Radunitsa, Easter, Belarusian Victory and Independence Days, and Dutch Koningsdag, Pasen and Kerst. The body-collection and embalming team is dispatched at any hour, and air bookings are made online. ZAGS and MFA paperwork is filed on the next working day, but body preparation and the zinc coffin proceed in parallel so cargo can depart as soon as offices open.

What if documents are not yet ready?

Do not delay the call. We begin body preparation, embalming, sealing of the zinc coffin and flight booking while documents are still being processed. Our lawyer obtains the medical death certificate from the State Committee of Forensic Examinations, registers the death at ZAGS, picks up the official certificate, submits it for the MFA apostille and forwards it to a sworn translator. If relatives are abroad, everything is handled under a notarised power of attorney prepared through a Dutch notary.
